Equipment Transport Quote Comparison
Compare scope, costs and responsibilities before booking. Download a free two-page worksheet.
CONFIDENCE IN EVERY MILE
Two equipment transport quotes can describe different jobs even when the pickup and delivery locations match. One may include loading assistance or route-related support while another leaves those items for the buyer to arrange.
Use this worksheet to compare the same shipment across two providers. It is designed for construction equipment, agricultural machinery and other qualifying specialized equipment moves. No email signup is required.
Prepared by Elevation Transport Services. Updated October 2, 2026.

Start with one shipment description
Send each provider the same equipment identification, transport configuration, dimensions, weight, attachments, operating condition, locations and timing. If one quote assumes a running machine and the other includes assistance for a nonrunning unit, resolve that difference before comparing prices. Use the equipment measurement worksheet if those details are still incomplete.
Compare what each quote includes
For every row, record Included, Excluded, Conditional or Unknown. Add the amount, responsible party or written condition next to the status. A blank item is not evidence that a service is included, and an unknown cost is not zero.
| Compare | What to confirm in writing |
|---|---|
| Shipment assumptions | Same machine, attachments, verified transport dimensions and weight, operating condition, origin, destination and requested dates. |
| Transport method | Proposed trailer or service, loading assumptions and any conditions still awaiting review. |
| Loading and unloading | Who supplies the operator and equipment at each end; what assistance costs and whether it is included. |
| Access and release | Site hours, appointments, gate instructions, release documents and constraints that affect the move. |
| Permits and escorts | What route-related support is included, excluded or awaiting determination for the complete loaded configuration. |
| Price and surcharges | Quoted total, fuel, tolls, handling and other stated charges; quote expiry and reasons the price can change. |
| Waiting time | Included time, when the clock starts, hourly or daily charges and who authorizes additional time. |
| Schedule | Pickup and delivery windows, transit estimate, and any commitment confirmed in writing. |
| Payment and changes | Deposit, remaining balance, due dates, payment surcharges, cancellation, refunds and rescheduling terms. |
| Carrier and cargo coverage | Assigned carrier identity, applicable authority, insurance documents, cargo limits, exclusions and deductible. |
| Handoff and claims | Pickup condition record, delivery paperwork, contact for exceptions and the process for reporting damage. |
Separate confirmed costs from possible charges
Confirmed comparison subtotal = quoted transport total + confirmed required costs that are not already included.
Keep possible waiting time, storage, rescheduling or other conditional charges in a separate list with the event that triggers them. Do not add them as certain costs unless they are confirmed, and do not hide them inside a zero-dollar assumption. A deposit should not be counted again as an extra charge when it is already part of the transport price.
If a required item remains unpriced, mark the comparison incomplete. Ask for clarification rather than declaring the lower subtotal the better offer. Service scope, available equipment, timing and written responsibilities also matter.
Keep a comparison copy
Print the two-page worksheet for handwritten notes, or type into the provider notes below. These notes are not saved or submitted. Copy them into your own document before leaving this page.
Questions to resolve before booking
- Are both providers quoting the same equipment configuration and operating condition?
- Who supplies loading and unloading assistance, and who pays for it?
- Which dates are estimates, and what is confirmed in writing?
- Which required costs remain unknown or outside the quoted total?
- Who approves a change in scope or price before additional work begins?
- Who is the contact if the equipment is not ready or the delivery site cannot receive it?
This is a buyer comparison aid, not a transport contract or a determination of loading, engineering, insurance or permit requirements. Keep each provider’s written quote and terms with your completed worksheet.
