A generator can be finished at the factory and still not be ready for a transport truck. Final testing, release paperwork, packaging, lifting arrangements and the loading appointment may all have different completion dates. Before scheduling a carrier, confirm that the supplier is ready to hand over the actual shipping package, not merely that production is complete.

This factory pickup checklist is for facility managers, generator distributors, industrial buyers and project coordinators arranging transportation for commercial or industrial generators. It focuses on the release and collection stage—not electrical installation, commissioning or site construction.

1. Get a clear answer to: “Is the generator released for pickup?”

Ask the supplier for written pickup authorization tied to a unit number, purchase order or serial number. Confirm whether factory testing, customer inspection, final payment or other required release steps remain open. An estimated completion date is not the same as a confirmed release date.

Identify one person who can approve collection and another person, if different, who handles shipping appointments. Request the earliest actual loading window, not only the day someone expects the equipment to be finished.

2. Verify the dimensions and weight of the shipping configuration

A transportation quote must reflect the generator as it will travel. Request the final overall length, width, height and shipping weight, including the enclosure, skid or base and any components that remain attached. Ask whether these numbers were measured on the finished unit or drawn from preliminary specifications.

List loose accessories separately. For example, silencers, exhaust components, fuel tanks, controls or spare parts may be supplied as additional pieces, depending on the order. Ask for their piece count, dimensions, weight and whether they must move together with the main generator.

Photos showing the complete unit from multiple sides can help the transport team evaluate the pickup plan, but photographs do not replace confirmed measurements.

3. Confirm packaging and handling responsibilities

Ask the manufacturer to supply any unit-specific instructions for handling, securing, protecting or lifting the shipment. Clarify whether the supplier provides the loading equipment and qualified operators, and whether that equipment will be available during the pickup appointment. Any specialized rigging or lifting plan should be established by the responsible qualified personnel.

Transport equipment should be selected based on the confirmed package, route, access conditions and loading method. A generator should not be assigned a trailer solely because an earlier model with a similar name was shipped on that trailer.

4. Verify the gate, pickup address and loading appointment

Get the exact shipping address, building or gate, check-in procedure, appointment requirements and facility operating hours. Verify the contact the driver should call on arrival. Ask whether the truck can reach the loading area and whether there are restrictions involving turning space, overhead clearance, ground conditions or truck size.

Confirm that the supplier’s release team and its loading crew will both be available. A shipment can be approved for release without the loading crew being ready to place it on the trailer.

5. Decide whether accessories are traveling with the main unit

For orders with multiple pieces, create a simple shipping manifest. Identify which pieces are ready and which are still being prepared. A split shipment may be possible, but only after the buyer and transportation coordinator agree on the separate scope, destinations and arrangements.

Do not assume that a second pallet or enclosure is included in a quote prepared for a single generator. Have changes confirmed before dispatch.

6. Check that the receiving location is prepared

Before the truck is sent, share the destination’s delivery contact, receiving hours, site access details and unloading responsibilities. Ask whether unloading equipment and personnel will be available for the agreed delivery window. Transportation and electrical installation are different scopes of work; our guide on where generator transportation ends and installation begins explains that distinction.

Generator pickup: frequently asked questions

Can a generator be collected as soon as factory testing is finished?

Not necessarily. Final testing is one milestone. The generator also needs its required release approvals, shipping configuration, handling arrangements and a confirmed pickup appointment.

Who is responsible for loading the generator?

That depends on the written shipping arrangement and the facility. Confirm with the supplier and transport coordinator who provides qualified personnel, appropriate equipment and access to the loading area before a truck is dispatched.

What information should I send for a generator transport quote?

Send the generator make and model, final shipping dimensions and weight, piece count, pickup and delivery locations, readiness window, loading arrangements and any documented handling restrictions. Clearly label anything that is still estimated.

Final generator factory-release checklist

  • Factory or seller release is authorized in writing.
  • Final shipping dimensions and weight are available.
  • Any special handling or packaging requirements have been reviewed.
  • Loading responsibilities, equipment and appointment are confirmed.
  • Pickup address, gate instructions and site access are verified.
  • Destination contact, receiving window and unloading responsibilities are clear.

Planning a commercial generator shipment? Elevation Transport Services reviews industrial generator transportation based on the actual equipment and facilities involved. Request a transport quote with the supplier’s release information and the final shipping details so the correct equipment and logistics can be evaluated.
