Build a Unit Manifest Before Scheduling
For each unit, provide the VIN or agency asset number, year, make, model, complete dimensions when applicable, operating condition, pickup facility, destination, release contact, and current photos. Identify equipment mounted to the roof, body, bed, bumper, or chassis.
The manifest separates ready units from exceptions and helps prevent one missing release, inaccessible vehicle, or condition issue from delaying the complete project.
Release, Facility, and Access Requirements
Public facilities may require appointments, gate authorization, bidder or purchase documents, agency contacts, driver identification, restricted pickup hours, or specific loading locations. Surplus auctions may use lot numbers that must be matched to VINs and asset numbers.
Confirm that titles, plates, decals, radios, emergency equipment, fuel cards, personal property, and agency records have been handled according to the owning agency’s process before pickup. Elevation coordinates transportation but does not determine how an agency must decommission or transfer its assets.
Multi-Location and Phased Fleet Moves
A statewide agency, county, school system, or dealer may have units spread across several yards. Projects can be divided by origin, destination, vehicle type, readiness, and delivery priority. Units with fixed service dates can move first while paperwork or condition issues are resolved for the remaining vehicles.
Central coordination provides one project view for assignments, pickup status, exceptions, and delivery confirmation without assuming every vehicle uses the same equipment.
